EMT Fitness – Privacy Policy

This privacy policy applies to the EMT Fitness app (Android) developed by the EMT Fitness Team. We are committed to protecting your privacy. We do not sell your personal data to any third party or advertiser.

What Data Do We Collect?

• Account Data: Name, email address. When you sign in with Google, we receive your name and email address from your Google account.
• Health & Fitness Data: Weight, body measurements, body composition, calories, exercises, reps, workout weights, and diet plans.
• Usage Data: Chat interactions with your trainer, food and exercise logs.
• Audio Data: Voice messages recorded and sent within the chat feature between you and your trainer or admin
• Chat Media: Photos, videos, and PDF files that you yourself choose and send within the chat with your trainer or admin. Photos and videos are compressed on your device before upload, and metadata (EXIF, such as location and camera details) is removed. This feature is available exclusively to activated clients and is subject to a monthly limit (100 files or 300 MB).
• Meal & Label Photos: Photos of your plate or of a product's nutrition label that you choose to take in order to estimate their nutrition values. These photos are processed instantly and are never stored on our servers and never linked to your account (see "AI Meal Photo Analysis" below).
• Barcode Numbers: The barcode number of a packaged product you scan, sent without any personal data to look the product up (see "Barcode Scanning" below).
• Technical Identifiers: FCM (Firebase Cloud Messaging) tokens for notifications, crash logs, and connection status.
• Device ID: We collect a unique device identifier to prevent abuse of the application and the unauthorized creation of multiple accounts. This data is not shared with any third parties

How Do We Use Your Data?

• To provide and track your personalized nutrition and workout plans.
• To enable communication with your assigned trainer and send important notifications.
• To improve app performance and troubleshoot technical issues.

Where Do We Store Your Data?

Your data is securely stored via Google's Firebase (Firebase Auth and Cloud Firestore). Chat files (voice messages, photos, videos, and PDF files) are stored in Firebase Storage. All data in transit is encrypted using HTTPS/TLS protocols.

When Do We Share Your Data?

• With your Trainer: Health and fitness data is shared solely with your assigned trainer to monitor your progress.
• Service Providers: With Google Firebase as an essential infrastructure provider.
• Legal Compliance: Only if required to comply with a legal obligation.
• Audio Data: Voice messages recorded and sent within the chat feature between you and your trainer. (Please note that this feature is exclusively available to active clients who have been approved by the app admin
• Chat Media: Photos, videos, and PDF files you send are shared only with your assigned trainer or admin within the chat.
• AI Provider: Meal and nutrition-label photos are sent — without your name, email or any health data — to an external AI provider (Google Gemini, with Groq as a fallback) for the sole purpose of analysing them.
• Food Databases: Scanned barcode numbers are sent — without any personal data — to public food databases (Open Food Facts and USDA FoodData Central).

We do not sell your data to any third-party advertisers.

Account and Data Deletion

You have the right to request the deletion of your account and all associated data at any time. You can do this in two ways:

• Using the "Delete Account" button inside the app: your data is deleted immediately and permanently.
• By sending an email to support@emtfitness.com: we will process your request within 30 days.

Chat media and voice messages are permanently deleted from our servers when your account is deleted. You can also delete any media you sent from within the chat, and the admin may remove media when necessary.

We may retain certain data for legal or security purposes for a limited period only when strictly necessary.

Data Retention

We retain your data as long as your account is active to provide and improve the service. Your data is deleted immediately when you delete your account from within the app or when sending us account deletion request via support@emtfitness.com . We may retain certain data for legal or security purposes for a limited period only when strictly necessary.

Security

We use Firebase Auth, Firestore Security Rules, and App Check to protect your data from unauthorized access.

Your Choices and Rights

• You can enable or disable push notifications from your device settings.
• You can request a copy of your data or request its deletion by contacting us at support@emtfitness.com.

AI Meal Photo Analysis (Optional)

The app offers two optional features powered by artificial intelligence: photographing your plate to estimate what is on it, and photographing a product's nutrition label to read its values.

• What happens: The photo is resized on your device, sent through our servers to an external AI provider (Google Gemini, with Groq as a fallback), and the provider returns the foods it recognised along with estimated amounts and nutrition values.
• We do not store the photo. It is not saved on our servers, is never linked to your account, and is discarded as soon as the analysis completes. We keep only a daily usage counter in order to enforce usage limits.
• What is sent: The photo and your app language only. Your name, email, health data and any other personal information are never sent.
• Third-party retention: The AI provider may retain the photo for a limited period under its own privacy policy. We have no control over that retention.
• Estimates, not measurements: The resulting values are estimates. You can review and edit every amount and value before adding it to your log, and nothing is saved until you confirm.
• Entirely optional: These features run only when you tap them, and the app works fully without ever using them.

Barcode Scanning (Optional)

• What is sent: Only the barcode number of the product. No personal data, and no record of who scanned it.
• Sources: Open Food Facts (licensed under the Open Database License) and USDA FoodData Central.
• Caching: We keep a temporary copy of the product data itself (name, brand, nutrition values) to make future lookups faster and to reduce load on those databases.
• Your own products: If a product is not found and you enter its values yourself, those values are stored on your device only and are not uploaded.

This app contains information from Open Food Facts, which is made available under the Open Database License.

Children's Privacy

Our app is not intended for or targeted at children under the age of 13 .

Required Permissions

• Notifications: To send meal, workout, and chat alerts.
• Internet: To sync data with our servers.
• Local Storage: To cache data temporarily when offline, and to keep a temporary copy of chat media for faster display.
• Microphone (RECORD_AUDIO): Required exclusively to record and send voice messages in the chat. This permission is restricted to officially activated clients. We do not record audio in the background or use it for any other purposes.
• Camera (CAMERA): Requested the first time you use a feature that needs the camera inside the app: scanning a product barcode, photographing a meal, or photographing a nutrition label. The camera is never used in the background, nothing is captured without your action, and you may decline the permission — the rest of the app continues to work normally.
• Photo Gallery: The app does not request access to your photo gallery. To send a photo or video, or to pick a meal photo, the app opens the system photo picker, which gives the app access only to the items you select.
• Storage (Android 9 and below only): When you choose "Save to device" for a photo, video, or PDF from the chat, the app may ask for storage permission to save the file to your gallery or downloads folder. On Android 10 and above, no permission is required.
